How do I Cancel a Game?

Rain, sleet, hail, coach ran away with a rodeo clown… there are many reasons to cancel a game.  Updating a game to CANCELED in TeamSnap is easy.

To show a game as CANCELED on your schedule,

  • From the Schedule Tab, click on the game or event in question
  • Click to Edit the game
  • From the Edit screen, check the box next to Canceled (about halfway down the screen)
  • At this time you can add reasons or alternate plans to the Notes section of your game detail
  • You can also click the box to Notify the Team and your team will receive an email with the cancellation
  • Click Save

Don’t let a rodeo clown ruin your day with lots of phone calls.  Notify your team of a cancellation via TeamSnap.


How do I Delete a Calendar from my iPhone?

To delete a team calendar from your iPhone, follow these steps on your device:

·         Go to “Settings”

·         Scroll down and Select “Mail, Contacts, Calendars”

·         Under Accounts, Select “Subscribed Calendars”

·         Select the calendar you’d like to delete

·         Select “Delete Account”

Note: deleting this account will remove its calendars from your iPhone.

 

How does the Season Archiving feature work?

You can use the Season Archiving feature to save a copy of your current season and create a brand-new blank season, with options to carry over your roster, messages and photos. Your team website will be ready to start entering your new schedule, payments, statistics, and photos.

Within your team scheduling software, players and managers will be able to look at an archived season and view past games and associated data, but they will not be able to edit or add anything new to an archived season. An archived season will have a gold banner across the top of the site, alerting you to the fact you are viewing a saved season.

Only the Team Owner will be able to go back and make edits to the past season. An archived season will show the features of the current plan (Free, Basic, or Premium). An owner can still do the following within an archived season, depending on the current plan:

  • Add message to the home page
  • Email or Text the team listed on the roster for a specific season
  • Add a game or event or enter a score
  • Edit payments, refreshments, stats
  • Upload a photo
  • Broadcast or post a message the team listed on the roster for a specific season
  • Edit items under the Manager tab

A couple things of note:

  • Once you archive a season, it can’t be undone–so please make sure you understand how the feature works. If you have questions, feel free to email support@teamsnap.com.
  • Only a player listed on a roster at the time of archiving the season will have access to that specific season. If a player is deleted after a season is archived, they will still have the ability to view the archived season but not the current one.
  • An archived season is always associated with a current season and will mirror the plan and the available features of that current season.
  • All games/events may not be archived. If the team has a large number of rosters and/or events, the availabilities might not be copied to the archive, for purely technical reasons. The current cutoff is whether the number of roster entries times the number of events > 10,000. This is typically enough for most teams, especially if they archive each season.

Why can’t I enter game results?

If you have Manager Access but are not seeing the “Enter Results” button for a game that has already taken place, please click on the “Edit” button for that game.  If the page shows “Edit Event” in the upper left corner instead of “Edit Game”, it means that the game was entered as an event and will need to be re-entered into the schedule as a game.  Once this is done, you should see the “Enter Results” button.

If your team is part of a league account and the schedule shows “TeamLink Event” on the right side of the page, it means that the schedule is league-controlled and game results can only be entered by a league commissioner.

What is schedule import?

Manually typing or cutting/pasting game info. into your schedule? Fugetaboutit. Now you can upload a file (.XLS, .XLSX or .CSV), map the game details to TeamSnap schedule fields, and boom!! Instant schedule. Get started with a Schedule template here!

What fields can I import?

Take a look at a typical game below to see what type of information is saved on the TeamSnap Schedule. For each game, you can save date, time, opponent, location, and location details. You can also save additional information like opponent contact, location address, away or home, uniform, duration, and arrival time (see the schedule template for a complete list).

What type of files can I import?

You can upload .XLS, .XLSX, or .CSV file formats.  

How do I prepare my files?

Here’s an example of a file that you might want to import. The first line of your file will be read as column headings. In order to import information about new games, the columns in your file should roughly match the fields in the schedule. The example below includes the date, time, home or away, opponent name, and location name.

You may not want to import all of the information in your spreadsheet, so the import feature lets you select which columns to import.  

Where can I find this feature in the web app?

To import this file, login to TeamSnap and select the schedule tab for your team.  Then select “Import Schedule.”

Then select the file to import from your directory and click “Open.”

How do I map fields after uploading a file?

For each column of data, select the corresponding TeamSnap Column Name from the pull down headers. If you don’t want to import a column, or there is no match, select “No Match.” We’ll import only the data that has a matching column name. Scout’s honor.

How do I fix errors?

It’s okay. Mistakes are a part of life, young padawan. In this example, the system noticed that some of the dates were not entered in the correct format. To edit the information, just select the field, and make the change.

If you don’t have the correct information, the system will not import incorrect field and leave it blank, and you can go back later to add any missing or incorrect data directly to the schedule.

Once you  finish editing your game data, select save schedule. To view the updated data, simply click on a game in the Schedule tab.

What if I import the wrong data?

Once you review the schedule, you might realize that you imported the wrong data. You have two options for correcting information:

  • If you have just a few changes, you can select each game and edit the data for each one OR
  • If you have quite a few changes, you can delete the games from your schedule, make the changes in your original file, and import the file again.

Can I import games without specific opponents and locations?

Often you may not have all the details for an upcoming game but you need to get it on the schedule as a placeholder. Since Location is a required field, you can just enter TBD in your original file or on the file upload screen (see below). You can also use TBD for Opponents and Time.

Can I import an event or practice?

To add Practices or Events to the schedule, simply omit the Opponent. When the data is imported, it will be saved as an Event and labeled as a ‘Practice’. You can then go in and change the Event Name or any other details. If you do not know the specific time, you can also enter TBD and add it later.

How do I subscribe to my team’s schedule?

Make life so much easier using your sports team management application by subscribing to your team’s schedule in your computer or mobile device’s calendar application. This will allow you to have your full schedule of games and events show up automatically in your calendar and have them update automatically anytime your coach or team manager makes an update. It’s like finally getting that personal assistant you’ve always dreamed of!

Subscribe via any iCal-compatible application on a computer:

  •    Go to the Schedule tab
  •    Click on the Subscribe/Export button
  •    Click the Subscribe to this Calendar button
  •    Select the program you wish to use or copy the calendar link directly into your calendar program

 

Subscribe via Google Calendar:

  •    Log into TeamSnap through the browser version of TeamSnap (not the app)
  •    Go to your Schedule tab
  •    Click on the Subscribe/Export button
  •    Highlight & Copy the .ics calendar link of your choice: Full Calendar or Games Only
  •    Open your Google Calendar
  •    In the far left column of your calendar, click on the down arrow to the right of Other Calendars
  •    From the drop-down window, select Add by URL
  •    In the pop-up window, paste the .ics calendar link into the box
  •    Click Add Calendar

Note: Google can take up to 24 hours to fully populate your calendar. As long as you do not see an error, it is likely still working. If the calendar name shows on your list of calendars under your Other Calendars, the subscription was added. If it has been over 24 hours and your calendar has not populated, please contact support@teamsnap.com and we can help.

Subscribe via iOS mobile device:

  •    Log in to the iOS app
  •    Go to the Schedule tab (but don’t click through to a specific game or event)
  •    Scroll to the bottom and tap +Add schedule to iOS Calendar

Subscribe via Android mobile device:

Most Android phones are tightly integrated with Google, so to access a subscribed calendar on an Android phone, you must first subscribe through Google Calendar. Google does not provide a way to do this through the mobile app, so it must be done through their web interface. See the section above titled, “Subscribe via Google Calendar.”

Note: On your Android device, verify that Sync Calendars is selected in Settings.

How do I add my team’s schedule to my iPhone?

If you are using the Calendar app and have downloaded one of our iOS mobile apps, you will just want to follow these simple steps:

  • Log in to the iOS app
  • Go to the Schedule screen (but don’t click through to a specific game or event)
  • Scroll to the bottom and touch +Add schedule to iOS Calendar

Ta da!  You are all set!

How do I subscribe to my TeamSnap schedule in Google Calendar?

To subscribe to your TeamSnap schedule in Google Calendar, do the following:

  1. Log in to your TeamSnap account from a browser (not the mobile app)
  2. Click Schedule tab
  3. Click Subscribe/Export
  4. Copy the calendar link
  5. Go to Google Calendar, click the small arrow to the right of “Other Calendars” (located on the left side of the screen below your mini calendar and My Calendars list)
  6. Click “Add by URL”
  7. Paste calendar link into the URL field
  8. Click “Add Calendar”

Note: It may take a few minutes for your iCal file to fully load in Google. As long as you do not see an error, it is likely still working. Please note that Google can take up to 24 hours to fully populate subscribed calendars. If the calendar name shows in your list of calendars on the left of the screen, the subscription was successfully added.

How do I create a repeating event?

Have a practice or other event that happens every day or the same day each week? Set up a recurring event! This function is available for teams and can be set up by the team’s owner or a team manager.

*Important: Not supported in mobile apps. This function can only be set up for NEW events created on the website, and is unavailable for games or existing events.

Here’s how:

  1. Click Schedule tab
  2. Click New>New Event
  3. Enter event details
  4. After entering event Time, select Daily or Weekly from the Repeats dropdownrepeats_menu
  5. After selecting the event frequency, choose the end date of the repeating event in the date field that appearsrepeats_fields
  6. You can then fill out the rest of the event details and click Save. You’re done!

How to Archive Season for Independent Teams

This article describes archiving for Independent Teams. For Club & League archiving, see here: How to Archive Season for Club & League

Note: The Season Archive feature is available only for teams on paid plans, and can only be performed by the team owner on the web app (this function not available in mobile apps).

Changing seasons? Season archiving will save a copy of the outgoing season and create a new season with options to carry forward roster and other needed data. The new season will be ready for schedule, payments, statistics, and photos to be added. Read more: What is Season Archiving?

Unless selected to carry forward, the following data will be archived with the outgoing season and will be deleted for the new season:

  • Schedule
  • Roster
  • Photos/Files
  • Payments
  • Tracking
  • Messages: Posts, Emails, Alerts
    *TeamSnap Live (TSL) data is not archived with the season and is lost when archived. Please independently save any needed TSL data before archiving season.

Once a season is archived, it cannot be undone. Please ensure the correct selections are made for what, if any, team data needs to be brought to the new season.

How to Archive Season:

  1. Log into TeamSnap
  2. Click team name
  3. Click Manager tab
  4. Click Seasons tab
  5. Click Start a New Season button

  6. Enter Completed Season Name and New Season Name
  7. Make selections for any existing data to be carried forward to new season
    1. If any events for the new season have already been entered on the schedule, please make sure you pay close attention to the Event to Start the New Season selection. Once the archive has processed, games/events archived with the old season cannot be brought forward to the new season.

  8. Click Archive This Season and Start a New Season button

The archive will process and after a few minutes the new season will be available. The archived season can be accessed on the web (not mobile apps) on the My Teams and Leagues dashboard screen by clicking the Show Archived/Retired Seasons at the bottom of the My Teams section.
